Role Summary
We are looking for a detail-oriented and proactive Operations Specialist to join our Operations team. This role plays a crucial part in maintaining the efficiency of our supply chain, vendor relations, procurement activities, and customer service operations. The ideal candidate will manage vendor communications, coordinate purchasing, oversee repair and return processes, and support dispatch operations from our office.
Key Responsibilities
Vendor Management
- Maintain and strengthen relationships with existing vendors and suppliers, ensuring compliance with service agreements
- Evaluate new vendor proposals and conduct performance assessments for current partners
- Negotiate pricing, payment terms, and delivery schedules
- Identify and resolve vendor performance issues or disputes promptly
- Prepare and distribute vendor performance scorecards and reports
- Track and document all vendor interactions, agreements, and contracts in the management system
Procurement Operations
- Process purchase orders for new and existing products from approved vendors
- Monitor inventory levels and coordinate reorder points with warehouse teams
- Track shipments, manage receiving inspections, and verify product quality
- Communicate with vendors regarding order status, delivery delays, or supply disruptions
Customer Service & Repair/Return Management
- Handle inbound customer inquiries related to repairs and returns via email and phone
- Document customer issues, repair requests, and return authorizations accurately
- Coordinate with technical teams to provide customers with repair timelines and updates
- Manage return shipment logistics and ensure proper product handling
- Process replacements and repair authorizations as per company policies
- Follow up with customers to ensure satisfaction with resolution outcomes
- Maintain detailed case records for repair/return analysis and process improvement
Required Qualifications
- Education: Bachelor’s degree preferred
- Experience: Minimum 2 years in operations, procurement, vendor management, or a related field
Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Experience with inventory/procurement systems (e.g., Zoho Books, Zoho Inventory)
- Communication: Excellent written and verbal communication skills for vendor and customer interaction
- Organizational Skills: Strong multitasking ability with a focus on meeting deadlines
- Problem-Solving: Capable of identifying issues and implementing effective, timely solutions
